GRAP asset register and water treatment

A GRAP-compliant asset register and the daily logbook at a water treatment works, in one system built for South African municipal legislation.

Registration, classification, depreciation under GRAP 17 component accounting, condition assessment, impairment and disposal on one side. Water quality readings checked against SANS 241 limits, chemical dosing, sampling schedules and shift handover on the other.

Field capture works without a connection, because pump stations and treatment works rarely have one. When SANS 241 is revised, the update reaches every municipality running it.

What else it carries

Wastewater and effluent

Influent and effluent are measured against the GN 665 limits set for that works. Bypass and overflow events are logged with a start and an end time, and a reading outside its limit opens an incident without an operator having to raise one.

Work orders

A work order belongs to the asset it was raised on, whether it came off a preventive schedule or a breakdown call. Cost of ownership accumulates on the asset record, which is where an auditor goes looking for it.

Fleet

A vehicle register with odometer readings, fuel logs, service intervals and licence expiry dates.

Alerts

Non-compliant readings, overdue maintenance, chemical stock running low and expiring licences all raise an alert. The thresholds sit per facility, because a works dosing chlorine gas does not hold the same stock as one dosing hypochlorite.

Reporting

SANS 241 compliance reports, GN 665 effluent returns, depreciation schedules, asset registers and capital renewal forecasts, in Excel and PDF.

Several works, one municipality

Dashboards drill from the municipality down to a single pump station. Data stays isolated per municipality, which matters where one contractor operates the works for several of them.

Water quality

Every reading checked against SANS 241 as it is entered.

One shift at a treatment works. Each determinand carries its own limit and its risk class, and the class decides where a failure goes: the works summary, the monthly return, or a phone call before the shift closes.
